Video Conference Services

General Information

Videoconferencing is available to interested person(s)/groups. Normal conference hours are 7:00am to 5:00pm, Monday through Friday, however, special arrangements can be made for after-hour conferences.

The technical department will not be responsible for user equipment; slides, or presentation media that are non-compliant with our equipment.

Customers who wish to use projection for presentation will be expected to furnish their own computing equipment.

If technical assistance is not requested, client will have initial set-up assistance of one hour prior to presentation or event.

A limited amount of tables will be provided at no cost, additional tables will be supplied upon request through a local vendor at the cost of the customer

There are 120 fixed seats within the auditorium; any request for additional chairs will be accommodated through a rental company at the cost of the customer. Requests should be made two weeks prior to the event

A videotape of your event can be produced upon request. There is a fee of $150.00 per half-day event and $300.00 for a full day. Copies from original tape can be made for a fee of $20.00 each.

A Bone and Joint Center Employee will handle the administrative and technical issues associated with setting up a video conference, including interacting with technical staff at the other site to schedule and test for the actual conference, interacting with network services, training meeting participant(s) in use if the equipment, establishing the link for the actual conference, etc. This person will also assist you if these are any operational issues that may arise during your meeting.

Room Rental

• Cost: $150.00/hour

These is a minimum one hour charge for room rental. If your conference extends longer than one hour the charges are allotted in 30 minute increments.

Transmission

• Cost: Variable

Video conference transmissions are charges typically billed to the location placing the video conference"call". Therefore, transmission charges may or may not apply.

ISDN usage

Video conference transmission charges using ISDN, vary depending on many factors, including, transmission speed, equipment capability, and network carrier.

• H.323 384kbps $50.00/hour

Cancellation Policy

• One (1) Business day or less:
  100% of all scheduled charges
• Two (2) Business days:
  50% of all scheduled charges
• Three (3) business days:
  Cancellation fee per location
